Managing Events and RSVPs
- Enable QuickRSVP (if not turned on automatically), download registration lists, and edit confirmation emails for tickets.
- Use the View option to manage the individual event.
- Click any of the Edit options at the top of the page to edit the RSVP settings:
- Max Capacity: If your event is limited to a certain number of people, make sure the capacity matches it. HLS Staff highly recommends using the Ticket function if the event is limited.
- Show Look Who’s Coming (LWC): Number of RSVPs required before the guest list shows on your event page.
- We recommend setting a low number (5 is usually good) so attendees can see if friends or colleagues have registered.
- QuickRSVP / Waitlist: Turn on QuickRSVP or Waitlist functions.
- QuickRSVP: Adds an RSVP form directly to your event page; no login required. QuickRSVP does not confirm if the registrant is a Harvard Affiliate, but will send an automatic confirmation email including the event title, date, time, and a link to the event.
- Waitlist: For popular events at capacity, this gathers contact info for those interested in case of cancellations.
- Email Receipt Verbiage: Add a custom message to the confirmation email for ticketed events. Enabling QuickRSVP will also send confirmation emails.
- On the event information page, view the RSVP list to see current registrations and download the registration list.
- On the Manage Events landing page, use Quick Memo to generate a string of email addresses for all registrants.
- You can paste these emails into the BCC field of an email. Recommended to use with QuickRSVP to send confirmation emails to registrants.
